How seats and seat groups work
Seats come in groups you name yourself. Each group has one level and a fixed number of seats. Here is how they are counted and changed.
A seat is one person's access to MyAIGuide.Pro. Seats are arranged in seat groups (we sometimes call them pools), set up just for your company.
What a seat group is
Each group has three things:
- A label in your own words, for example "Leadership", "Clinical staff" or "Front desk".
- A level: Starter, Member or Executive. Everyone in the group gets that level.
- A count: how many people the group can hold.
You can have as many groups as makes sense, and the mix is agreed in your proposal.
How seats are used
- You send your coordinator the people for each group.
- Your coordinator adds each person at the group's level. They get a "your seat is ready" email.
- The person creates their account with the exact email we invited. Using a different address starts a separate, unpaid signup instead, so ask them to use their work email.
We keep each group within its count. If a group is full, the next person waits until a seat frees up or you add seats.
Who can have a seat
Seats are for people on your company's email domains, which you give us during onboarding. Inviting anyone else, such as a contractor on another domain or a personal email, needs our owner's approval.
Adding seats
- Tell your coordinator which group needs more and how many.
- We price it and our owner approves it.
- You confirm a short written amendment. The new monthly amount starts from your next invoice.
- We increase the group and invite the extra people.
Today your coordinator tracks your seat counts for you. A company console with seat meters is coming.
