Renewals, changes and cancelling
How renewal works, how to change seats or groups during your term, and what happens if you decide to cancel.
Your agreement runs for a fixed term, usually 12 months unless agreed otherwise. Here is how changes and renewals work.
Changes during your term
- More seats or a new group: we price it, our owner approves it, and you confirm a short written amendment. The new amount starts from your next invoice.
- Moving someone between groups: tell your coordinator. Counts are updated and there is no paperwork unless a group needs more seats.
- Price changes always need a written amendment approved by our owner.
Renewal timeline
- About two months before your term ends, we prepare your renewal.
- Six to eight weeks before, your coordinator books a renewal call with you and your finance contact to review usage and plan the next term.
- About a month before, the renewal agreement goes out. It follows the same signing rules as your first agreement: an authorised signer, confirmed from their own work email.
If you decide to cancel
- Tell your coordinator in writing.
- Your people keep their seats until the end of the period you have paid for.
- After that, our team switches off the company seats. Their accounts are kept, and anyone who wants to carry on can choose a personal membership.
- We send a final invoice or credit note.
Anyone with their own paid personal subscription keeps it. A company account never cancels a person's own subscription.
Tip
Bring your questions to the quarterly review. It is the best time to adjust groups before renewal comes around.
