Privacy Policy

This policy explains what personal information MyAIGuide.Pro collects, why, who helps us process it, how long we keep it and the choices you have. We've tried to write it in plain words. If anything is unclear, email us at hello@myaiguide.pro.
1. Who we are
MyAIGuide.Pro is operated by CloudOMax Corp, a company based in Canada. CloudOMax Corp is the "controller" (the organisation responsible) for the personal information described here.

2. What we collect
Information you give us
- Account and profile. When you sign in (through our sign-in provider, Clerk) we receive your email address, name and profile picture, plus anything you add to your profile: profession, company, job title, LinkedIn link, phone number, AI experience level and goals.
- Billing. Payments are handled by Stripe. We receive your name, email, plan, payment status and invoice history. We never see or store your full card number — it goes straight to Stripe.
- What you put into our apps. Prompts, questions, documents and files you upload (for example a resume with a coach application, or a document you ask an app to work on), and the results the apps produce for you.
- Community posts and comments you publish inside the member area. Other members can see them.
- AI Compliance Academy assessments. Your answers and results. Before you sign in, results are kept in a cookie on your device so they aren't lost; after you sign in they are saved to your account.
- Communication preferences. Whether you opted in to email, WhatsApp or SMS messages, and when.
- Digest inboxes you add for someone else. If you add another person's email address to receive a digest, we store it together with your confirmation that they agreed. We then email them once to ask them to confirm, and send them nothing else until they do. They can unsubscribe in one click at any time.
- Messages you send us (support email, WhatsApp replies, feedback).
Information collected automatically
- Usage and security logs. Pages and features used, errors, browser type, and the date and time. Where we keep an IP address with a record, we store it only as a one-way hash (a scrambled code that can't be turned back into the address).
- Approximate location. Our hosting provider tells us the country, region and city your connection comes from (worked out from your IP address). We use it to apply the right privacy rules and prices, and to show staff an internal, city-level map of where members are. It is never shown publicly.
- Short-link clicks on go.myaiguide.pro. When someone clicks a Zora short link we record the time, the link, the referring site, the device type and the country and city (from the IP address). To count unique visitors we use a hash of the IP address and browser that is salted with a value that changes every day, so the same person can't be followed from one day to the next. The raw IP address is not stored.

3. Why we use it, and our legal basis
Privacy laws such as the GDPR ask us to name a legal basis for each use. Ours are:
- To provide the service you signed up for (contract): running your account, the apps and courses, billing, support and service emails about your account.
- With your consent: marketing emails, WhatsApp and SMS messages, analytics and marketing cookies where the law requires consent, and digests sent to an inbox you added. You can withdraw consent at any time; that doesn't affect what happened before.
- For our legitimate interests, balanced against your rights: keeping the service secure and preventing fraud and abuse (including of short links), fixing bugs, understanding which features help people, counting page views anonymously without cookies, and measuring which of our own campaigns work where the law allows it without consent.
- To meet legal obligations: tax and accounting records, answering lawful requests, and keeping proof of consent.
4. How we use AI
Many features work by sending what you enter to an AI model and returning the result. To do this, your inputs and files are sent to AI providers — OpenRouter (which routes requests to models from different labs), Anthropic, OpenAI and fal.ai (images and video) — only to produce the result you asked for.
- We do not use your content to train our own AI models.
- Where a provider offers a setting or contract term that stops them training on data sent through their API, we use it. Providers may keep requests for a short time for abuse monitoring, under their own terms.
- AI output can be wrong. Please check anything important before you rely on it.
- We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.
5. Who we share it with
We do not sell your personal information and we do not share it for cross-context behavioural advertising. We share it only with service providers ("processors") that help us run MyAIGuide.Pro, under contracts that limit how they use it:
- Vercel — website hosting.
- Supabase — database and file storage.
- Clerk — sign-in and account security.
- Stripe — payments, invoices and subscriptions.
- Resend — sending email.
- Beehiiv — our newsletter, if you subscribe.
- Metricool — web analytics, only with your consent where the law requires it.
- OpenRouter, Anthropic, OpenAI and fal.ai — AI processing (see section 4).
- Meta (WhatsApp) — WhatsApp messages you opt in to.
- n8n — workflow automation that moves data between the services above.
- YouTube Data API (Google) — we read public video information only; we don't send your personal information to it.
We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a sale or reorganisation of the business (in which case this policy continues to apply to your information).
6. International transfers
CloudOMax Corp is based in Canada, and many of our providers store or process data in the United States and other countries. When information leaves the EU/EEA, the UK or Switzerland, we rely on adequacy decisions where they exist (for example, the EU's decision for Canada) or on Standard Contractual Clauses and similar safeguards.
7. Cookies and your privacy choices
We use a small number of cookies. Which ones run before you choose depends on where you are:
- EU/EEA, UK, Switzerland and Québec (and anywhere we can't tell): only necessary cookies run until you say yes. We ask with a small card and remember your answer.
- Everywhere else: analytics and marketing cookies are on by default, and you can turn them off at any time with the Your privacy choices link in the footer.
- Global Privacy Control is honoured: if your browser sends a GPC signal, marketing cookies stay off.
Even with analytics cookies off we count page views anonymously, with no cookie and no IP address. The Cookie Policy lists every cookie, what it's for and how long it lasts.
8. How long we keep it
- Account and profile data: while your account is active, then only as long as needed to close it properly, settle disputes and meet legal duties.
- Billing records: 7 years, for tax and accounting.
- Usage logs and short-link clicks: for visitors from the EU/EEA, UK, Switzerland and Québec, the personal parts of each record (such as visitor numbers, email, city and browser details) are removed after 13 months; the anonymous counts are kept so our statistics stay complete.
- Proof of consent (your cookie choices and terms acceptances): 5 years, then deleted.
- IP addresses: stored only as a one-way hash, never in raw form.
9. Your rights
Depending on where you live, you can ask us to:
- give you a copy of your information (access) in a portable format (portability);
- correct anything that's wrong;
- delete your information;
- restrict or object to how we use it, including for direct marketing (you can always say no to marketing);
- withdraw consent you gave, at any time.
Where you live also matters:
- EU/EEA, UK and Switzerland: you can complain to your local data protection authority. We'd appreciate the chance to help first.
- Canada: you have rights under PIPEDA and can complain to the Office of the Privacy Commissioner of Canada. Québec residents also have rights under Law 25, including to be informed when a decision is made solely by automated processing.
- California and other US states: you have the right to know, delete and correct your information, and to opt out of the sale or sharing of personal information. We don't sell or share it, and we honour Global Privacy Control. We won't treat you differently for using your rights.
10. How to use your rights
- In the member area: go to Profile → Privacy & data to Download my data or Delete my account.
- By email: write to hello@myaiguide.pro from the address on your account (or tell us how we can confirm it's you).
We answer within 30 days. If we need more time or can't do what you ask (for example, because the law requires us to keep billing records), we'll tell you why.
11. Children
MyAIGuide.Pro is not meant for anyone under 16, and we don't knowingly collect information from children under 16. If you think a child has given us information, email hello@myaiguide.pro and we will delete it.
12. Security
We use encryption in transit (HTTPS), access controls, sign-in protection, hashed IP addresses and limited staff access to protect your information. No system is perfectly secure; if a breach puts your information at real risk, we'll tell you and the authorities as the law requires.
13. Changes to this policy
When we change this policy we update the effective date (October 1, 2026) at the top of the page. For important changes we'll let members know by email or in the app, and we'll ask for your cookie choices again where needed.
